The Scheduling Coordinator will be responsible for scheduling all staffing hours for Memory Care neighborhoods.  Staffing hours will include regular hours and private duty/1:1 care assignments.  Regular hours will be scheduled to budget hours/aide to resident ratios.  Private duty assignments will be assigned by neighborhood director and will be scheduled according to need.  Private duty schedules will include recurring assignments, transition aides, escorts, etc.

Duties and Responsibilities:  

  1. Maintain floor assignment schedules for Memory Care neighborhoods by pay period. Schedule shall include designated care manager name and respective assignment number and shall be tied to budget and/or aide to resident ratio.
  2. Schedules shall be posted and made available in monthly increments to provide ample time for schedule conflicts and un-planned time off.
  1. Manage PTO requests and ensure adequate coverage, while mitigating overtime exposure.
  1. Manage punch edits by 11:00 a.m. each day. Manage labor hours and punch creep to respective schedules.
  1. Receive and triage callouts to ensure adequate coverage is maintained.
  1. Maintain call-out/time off tracking. Call outs more than 1 per month shall be reported to respective neighborhood director for possible coaching and counseling.
  1. Maintain private duty schedules according to need.
  1. Process monthly statements and accruals for staffing agencies as they apply. All statements and accruals must be trued-up by last business day of the month.
  1. Recruitment and establishment of internal PDA pool, helps with interview setup and makes hiring recommendations.
  1. Provide side by side supervision with coaching and support to the care managers, and assistance with training.
  1. Oversees the incontinence program. Responsible for ordering supplies and ensuring that those supplies are delivered timely and correctly to each resident’s room.  Works with care managers to ensure changes in levels is noted and supplies ordered accordingly.
  1. Other responsibilities of a coordinator as they apply from the Memory Care Managers.

  1. Must have excellent verbal skills and be able to communicate effectively across multiple disciplines, while maintaining an energetic and positive attitude.
  2. Ability to work effectively within a team-based environment.
  3. Strong time management, analytical and organizational skills.
  4. Ability to effectively present information and respond to questions from managers and team members.
  5. Ability to solve practical staffing problems and manage conflict effectively.
